My name is Van Isenhour.  My wife, Joann, and I live at 123 Greenview Drive in Southbridge. We are five year residents of our community and have found this to be the ideal location for us in every

way.  Southbridge is unique in Savannah with a natural beauty not found in many communities with over twelve hundred home sites. I have over twenty-four years of landscape management, design, and installation in the Savannah market.  Also, I have a long history with the landscape development of Southbridge having been the designer and installer of many common areas within Southbridge.  Over the years I have designed and installed numerous home landscapes and worked with residents on all phases of installation, irrigation, and related areas to help make their homes reach full potential, My goal is to provide every homeowner with quality service and accurate answers in all areas of property management and covenant enforcement. Official Job Description - Duties and Responsibilities

Vendor Management:

  • Ride/walk through entire property (weekly at minimum)
  • note and report to appropriate vendor/provider any areas needing attention
  • insure vendors are performing to contract agreement and HOA standards
  • bring additional maintenance needs to attention of HOA for budget decisions

Review all property vendor invoices received weekly:

  • Insure accuracy – correct rates, verify work actually done, work done to standards
  • Assign to correct budget category
  • Approve for Payment, noting any discrepancies/adjustments
  • Submit to Financial for payment

Covenant enforcement:

  • Drive through entire property (weekly at minimum):
  • Note covenant violations and submit 1st warning letter to home/lot owner via certified mail
  • Return to violation property on 7th day to verify compliance
    • If owner has not complied, notify Attorney to send Covenant violation letter 2nd warning and pending fine
  • Return to violation property in 24 hours from 2nd warning to verify compliance
    • If owner has not complied, notify Attorney and Financial to begin accruing daily fine/billing owner
  • Provide Monthly report of violations & status to HOA

Receive regular calls from SB residents – respond or direct disposition according to topic:

  • Invoicing/Payments – Administrative
  • General Information/Covenants – Administrative
  • HOA Property Maintenance – Property Manager
  • Public Land/Property – Chatham County
  • Builder/Developer Issues – Northpoint RE & HOA President
  • Architectural Review Board – Deborah Wade
  • Security/Night Patrol – Area Rep
  • HOA Issues/Decisions – President

Annual Vendor Property Budget:

  • Prepare RFQ for each property maintenance area annually – Due Dec 1st
  • Review RFQ’s with HOA for approval
  • Submit RFQ to at least 3 vendors for each type of work
  • Meet with vendors and assess submissions
  • Review with HOA and recommend vendor selection
  • Notify bid winner and establish contract
  • Provide budget figures to HOA Treasurer

Common Area Turnover

  • Review/assess property with selected vendors & developer’s representative
  • Provide list to Developer of open issues to be attended to
  • Follow up with Developer to insure completion of open items
  • Perform final inspection of property & accept turnover
  • Insure Quit Claim Deed is filed and property is assigned & assessed to SB HOA, non-profit organization status

Provide monthly status report to HOA

Receive/respond to calls from residents regarding property management issues/questions

Make recommendations to HOA regarding property improvements, major repairs/replacements
